GPL Application Process
If you already submitted an application on Zillow, we will use that as a primary source.
However we may ask you to submit additional supporting documents.

There are three phases in this process: Phase 1 - Viewing Property; Phase 2 - Application; Phase 3 - Singing Lease. In this document, we list each step in a sequential order to show you what we are expecting you to do. You can set up an expectation in this work flow which may take some time and patience.
Some tenants are scared of SCAMs. We want to show you that we are seriously taking the application process with these detailed steps without asking money up front. We are interested in the Tenants’ qualification. If this were a SCAM, we could have made this process much simpler. We hope that we can earn your trust in the very beginning of this process.
Due to high volume of callers, we’d like our potential tenants/callers cooperated with the following process:
The potential tenants/callers send a text message to “408-634-5320” mentioning a “street name” and “full name” of the caller.
GPL will track each message and get back to the caller accordingly.
GPL will touch base with the callers with some basic screening questions to confirm if the tenants/callers are interested.
GPL will set up a Zoom meeting with the potential tenants/callers to meet face to face and establish an initial trust.
In this way, we can help Tenants clear doubts with “Fraud”.
All primary applicants and co-applicants are encouraged to attend this Zoom meeting.
GPL will set up an appointment for showing as the next step.
GPL will coordinate with the potential Tenants with a showing with a specific date and time.
Tenants should notify GPL if the appointment is canceled in advance to avoid wasting a trip.
Tenants should always confirm at least 30 mins prior to the appointment time.
All primary applicants and co-applicants are encouraged to show up for viewing the property at the same time slot.
It’s highly appreciated if Tenants can provide some feedback even though they decide not to take this property. The feedback will help us to further improve the condition as needed.
If Tenants notify us for a cancellation in advance, we will try to reschedule another showing at a different date/time as needed.
If you submitted an application in Zillow already, you may skip the process below. However, we may ask you some additional supporting documents if your Zillow application is not sufficient.
Once Tenants confirm that they like the rental home, GPL will send an application to the Tenants.
Tenants may fill in the application online using Google Doc.
Tenants may also reply email and insert an answer to each question as well.
Tenants will fill out the application as much as possible.
If some of the questions in the application are N/A, Tenants may skip these questions.
Tenants feel free to comments to any questions in the application. Some explanation is always welcome.
Tenants need to provide some supporting documents to help us verify your employment and financial stability.
The requirements for the supporting documents are listed in the application mentioned above.
Take photos of Driver License & SSN card using your mobile phone;
Text the photos to 408-634-5320;
Download pdf files with three consecutive pay stubs and email to “gordian.properties@gmail.com”;
Provide a summary page of three consecutive bank statement with the account number blocked; We just want to see how stable your cash flow is;
Tenants need to pay some application fees so that GPL can use the money to run credit/background check reports for primary applicant and co-applicants. This is a critical step since GPL heavily depends on Tenants’ credit score to determine if the applicants are qualified.

Please always write down the property address on the deposit slip. Once you make a deposit payment, please text me the image of the deposit slip.

GPL will run a background check report and a credit check report;
GPL may ask you some follow-up questions reported in the credit reports regarding to your collection accounts, delinquent accounts or even high balance debits accounts.
We want to make sure that your recurring payments are not significantly impact Tenants’ ability to pay the rent.
GPL may require Tenants to sign “Authorize to Release” form for a Property Management company for Tenants’ current home.
GPL will check if Tenants owe any rent and run late during the current lease terms.
Tenants should have notified the current Landlord with a 30 day notice to avoid surprises to the current Landlord.
Once the application is completed, GPL will proceed with leasing process.
GPL will draft a proposal with some customized lease terms based on the discussion with the Tenants.
GPL will issue an initial Tenant’s Ledger / Renter’s Statement with demanded amounts.
GPL will also include utility signing responsibility in this proposal as needed.
If Tenants agreed on this proposal, Tenants should prepare to make a commitment by making the initial payments.

Carefully read the overall terms in this proposal with the initial rent ledger statement for the demanded amount.
Once the Tenants confirmed, Tenants should proceed with a commitment with a full payment.
Landlord will draft a lease agreement for Tenants to initial & sign as the next step.
The Tenants need to make a commitment by making a full payment of the initial demanded amount before making the lease effective. The initial payment is usually a large amount. In order to make this payment in a secured way, the Tenants may want to go to a local bank in person.
The Initial down payment and deposit Payment - Reminder:
Please come to a bank and work with a bank teller.
Please always write down the property's address such as “123 Street” on a deposit slip.
The deposit must be in cash or a cashier's check (verifiable, not money orders) or in-bank transfer.
You can take a picture of a cashier’s check if applicable and send it to 408-634-5320 for verification.
In this way, you have a bank teller and deposit slip as evidence of the transaction.
Please take a picture of the deposit receipt and text back to 408-634-5320 so that we can verify quickly.
If the Tenants don’t have to run to a local bank, the Tenants may use Zelle to make the initial payments. Just keep in mind that it will take several days due to some daily limitations.
The Tenants should always have a good relationship with all utility companies to avoid unnecessary additional deposits.
The Tenants should sign up all required utility accounts with a starting date when the Tenants plan to get the key to the house.
Notice that the day for keys might be in advance than the actual move-in day. We normally give Tenants some overlapping days for free.
Instructions for signing a lease are as follows:
In an Email attachment, Tenants find the lease agreement in both pdf and word format.
Tenants may also have access to these Lease documents directly via Google Doc.
Tenants read thru all terms before initialing each page and signing the last page.
Once it's signed, please scan and send it back to gordian.properties@gmail.com .
There are several options to sign the lease or a document:
Option 1: You may print out the lease, initial and sign before you scan and email back.
Option 2: You may text us your initial and signature so that we can copy/paste the images into the lease document.
Instruction for texting the signature and initials:
Select a piece of paper in white color;
Use daylight as possible to ensure the brightness of the background;
Write down your initial in small letters in the white paper;
Write down signature horizontally in small size as possible in the white paper;
Take a picture of the signature and initial horizontally with your phone facing the white paper vertically;
Text back the images of the signatures and initials;
We will insert your initial and signature to create digital version of lease/document in pdf format;
Option 3: You may sign electronically and directly to the lease document. You may also use the word format of the lease and fill in the initial and signature with a selected script fonts. Then save the document to a pdf format before sending it back to us.
To select a script font for initial and signature, you may do as follows:
Open the word file
Go to Format => Font =>
Select any script text font
Or you may use italic fonts
Note: This lease is not effective until a full commitment is made including a full amount of payment and signing up with utility companies if applicable.
Transfer Keys and Walk thru
GPL will confirm that everything mentioned above has been done.
GPL will authorize the key transfer.
GPL will make an arrangement / coordinate an appointment for the Tenants to get keys and do a final walk thru the house.
This is not the final step at GPL end. GPL will always stand by if Tenants come up with an additional issues after getting the keys. GPL will ensure that Tenants are happy and satisfied before completely settled down.
For the entire lease terms, GPL also committed fully to help Tenants in timely the first time when Tenants report any issues.
